RelyCFO (“we,” “us,” or “our”) is a tax preparation and advisory firm based in Houston, Texas. We take the privacy of your personal and financial information seriously. This policy explains what we collect through this website and our account dashboard, how we use it, and the choices you have.

Information We Collect

Contact details. When you submit our contact form, request a consultation, or subscribe to updates, we collect what you provide — typically your name, email, phone number, the service you’re interested in, and any details in your message.

Account details. If you create an account, we store your email and (for password accounts) a securely hashed password — never the password itself. If you sign in with Google, we receive your name, email, and profile picture from Google.

Bank statements you upload. If you use the statement analyzer in your dashboard, you may upload PDF bank or credit-card statements. See “Bank Statement Uploads & Your Financial Data” below for exactly how those are handled.

Technical data. Like most websites, our hosting provider may log technical data such as your IP address, browser type, and pages visited. We use privacy-friendly, aggregate analytics and do not sell this data.

Bank Statement Uploads & Your Financial Data

When you upload a statement to your dashboard, here is exactly what happens to it:

  • The PDF file itself is never stored. It’s held in memory only long enough to read it, then discarded — we do not keep your original statement files.
  • To read the statement, its contents are sent securely (over HTTPS) to our AI provider, Anthropic (the makers of Claude), which extracts the individual transactions. Anthropic does not use data submitted through its API to train its models and retains it only briefly for abuse monitoring.
  • Only the extracted results are saved: each transaction’s date, description, amount, and whether it’s income or expense, plus the file name and upload time. These are stored in our database, tied to your account.
  • Your transactions are private to your account. Our system scopes every request to your user ID, so no other user can view or modify your data.

You stay in control: you can edit or delete any transaction from your dashboard at any time, and you can ask us to delete your account and all associated data (see “Your Choices”).

How We Use Your Information

We use the information you provide to:

  • Respond to your inquiry and schedule consultations
  • Provide the tax, advisory, and statement-analysis services you request
  • Operate, secure, and improve your account and dashboard
  • Meet our legal, regulatory, and professional obligations

We will never sell your personal or financial information to third parties.

How We Share Information

We share information only with service providers that help us operate the website and dashboard, and only to the extent needed to provide the service:

  • Anthropic — AI processing to read uploaded statements and extract transactions
  • Neon — our managed PostgreSQL database, where account and transaction data are stored
  • Vercel — application hosting and delivery
  • Google — only if you choose to sign in with Google (authentication)
  • Calendly and our form/email provider — scheduling and contact-form delivery

These providers are bound by their own privacy and security obligations. We may also disclose information if required by law, regulation, valid legal process, or to protect our rights.

Data Security & Retention

We use reasonable administrative and technical safeguards to protect your information, including encryption in transit (HTTPS) everywhere and encryption at rest in our database. Passwords are stored only as salted argon2 hashes. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

We retain your account and transaction data until you delete it or close your account. Contact information is kept only as long as needed to respond to you, deliver services, and satisfy legal or professional record-keeping requirements. Uploaded PDF files are not retained at all.

Your Choices

From your dashboard, you can edit or delete individual transactions at any time. You may also request that we access, correct, or delete the personal information associated with your account — including all stored transactions — or unsubscribe from communications, by emailing shankar@relycfo.com.

Children's Privacy

This website is intended for adults and is not directed to children under 13. We do not knowingly collect information from children.
